The Community Events Calendar is a searchable database of both regularly-scheduled
on-going activities and one-time events of local interest. Users can browse
monthly calendar listings or search for specific dates and types of events
(arts, government, education, sports, etc.).
The community events calendar updating functions are password protected.
Only authorized maintainers may enter or change event information.
Functions
- Create makes a new entry. It may
be a one-time event, or a daily, weekly, monthly or other recurring event.
- Change alters the information for
an existing event.
- Postpone displays a postponed
message on the event's original date and points to the rescheduled date.
- Cancel displays a message that the
event has been canceled.
- Remove deletes the event, or a specified
series of dates for a recurring event, from the calendar.
To manage Community Calendar events, you must have:
- A Community Calendar account.
- A current Community Calendar password.
- A browser that supports forms.
- To update existing events, the maintainer must enter the unique
reference number generated for each event when it was initially created.
Create Event
To create a new event:
- Click on Create/Change/Postpone/Cancel/Remove Events (Password Protected)
at the calendar main menu.
- Enter User ID and password.
- Select Create an Event.
- Click on Proceed.
- Type information into text fields:
Note: Title and category are required; description, location,
and contact person's information are strongly recommended.
- Title of event
- Category (select one from the pull down menu provided)
- Sponsor
- Cost
- URL (link for additional information)
- Description of event
- City
- Location
- Directions to the event
- Contact person's name
- Phone number
- E-mail address
- Select event's start and end times and dates from the pull down menus.
- Select the event frequency.
- For a One Time Event, specify the event's date as the Start Date; ignore
the End Date. For a recurring event, specify additional information.
- Enter additional information about a recurring event.
- For a daily event:
- Click on Daily Event.
- Check the day(s) of the week.
- Select the repetition pattern--only one may be selected.
- For a weekly event:
- Click on Weekly Event.
- Check the week(s) of the month.
- Select the repetition pattern--only one may be selected.
- For a monthly event:
- Click on Monthly Event.
- Check the month(s) of the year.
- Select the repetition pattern--only one may be selected.
- Click on Create This Event. An event confirmation message appears.
- Proofread the event information. To add or change information, click
on the Back button in your browser. Make changes and click on Create This Event.
- Conflicting information (for example, entering a date that has already
elapsed), creates a descriptive error message and prompt to click on the Back button
in your browser to fix the problem.
- Click on Confirm to save and post the event.
Note: The event scheduled notice provides a reference
number that must be entered to make any modifications to calendar event
information. Copy and save this important reference number. You cannot
modify an event without this number.
- Click on Back to Calendar Administration Page to enter another event,
modify an event or return to the calendar main menu.
- To enter more events, repeat steps 3-14 above.
Change Event
Note: To change an event that event's reference number is required.
To change an event:
- Click on Create/Change/Postpone/Cancel/Remove Events (Password Protected)
at the calendar main menu.
- Enter User ID and password.
- Select Change an Event.
- Click on Proceed.
- Enter the reference number and click on Update.
- Type in changed information on the previously created event form.
- Click on Update This Event.
- A confirmation page with the changed information is displayed.
- To make additional changes, click on the Back button in your browser.
- Click on the Confirm button to view and save changes.
- Click on Back Calendar Administrator Page to return to the calendar
event start page.
Postpone Event
Note: To postpone an event that event's reference number is required.
To postpone an event:
- Click on Create/Change/Postpone/Cancel/Remove Events (Password Protected)
at the calendar main menu.
- Enter User ID and password.
- Select Postpone an Event.
- Click on Proceed.
- Enter the reference number.
- Enter month, day and year event was previously scheduled.
- Enter new month, day and year for the same event.
- Click on Postpone Event.
- Event postponed notice appears. Calendar's event list for the original
date displays an Event Postponed message with its rescheduled date and
links to event information.
- Event appears on calendar events' list for new date.
- Click on Back Calendar Administrator Page to return to the calendar
event start page.
Cancel Event
To cancel an event:
- Click on Create/Change/Postpone/Cancel/Remove Events (Password Protected)
at the calendar main menu.
- Enter User ID and password.
- Select Cancel an Event.
- Click on Proceed.
- Enter the reference number.
- Click on Update.
- Check the box to cancel the event on all scheduled dates or cancel
only specified date(s) by selecting month/day/year for a range of dates.
- Click on Cancel Event. Event canceled notice appears. Calendar's event
list for the original date displays an event canceled message.
- Click on Back Calendar Administrator Page to return to the calendar
event start page.
Remove Event
To remove an event:
- Click on Create/Change/Postpone/Cancel/Remove Events (Password Protected)
at the calendar main menu.
- Enter User ID and password.
- Select Remove an Event.
- Click on Proceed.
- Enter the reference number.
- Check the box to remove the event from all scheduled dates or remove
only specified date(s) by selecting month/day/year for a range of dates.
- Click on Remove Event. Event removed notice appears. Calendar's event
list for the original date(s) no longer displays the event.
- Click on Back Calendar Administrator Page to return to the calendar
event start page.
DOs & DON'Ts
- Remember your Calendar password and reference numbers. Keep them in
a secure place to prevent unauthorized tampering with event information.
- Proofread entries before selecting final confirmation for easiest editing.
- Provide current, accurate information. Check and revise it regularly.
